1. About the Practice and App
 
Maneesha Sarin Chawla is a therapeutic counsellor registered with the British Association for Counselling and Psychotherapy (BACP) and the International Transactional Analysis Association (ITAA). She is committed to working ethically, safely and respectfully in accordance with recognised professional standards.
 
The Client Area app is published by IMAGO 77 LTD for the counselling practice of Maneesha Sarin Chawla.

Data Controller and App Publisher
 
For the purposes of the UK General Data Protection Regulation and the Data Protection Act 2018, Maneesha Sarin Chawla is the Data Controller. The Client Area app is published by IMAGO 77 LTD for the counselling practice of Maneesha Sarin Chawla.
 
Information Collected
 
Information may be collected when you log in to or use your existing Client Area account, submit an enquiry, book a session, make a payment, attend a counselling session via Zoom, or communicate by email. This may include:
 
• Name
• Email address
• Telephone number
• Client account identifier
• Booking and appointment details
• Information submitted through contact forms
• Counselling session history
• Billing information and payment confirmation details
 
Full payment-card and bank-account details are entered directly with the payment provider and are not stored by the Client Area app or the practice.
 
Optional App Permissions
 
Location access is optional and is used only while you use the app to suggest the appropriate booking country and regional pricing. You can select a country manually if you decline access. The app does not use location for advertising or tracking and does not save your device location in your client record.
 
Notification permission is optional and is used for appointment reminders. You can change location and notification permissions at any time in your device settings.
 
How Information Is Used
 
Information is used to authenticate existing clients, respond to enquiries, schedule and deliver counselling services, process and confirm payments, send appointment communications, maintain business records, and comply with professional, legal and regulatory obligations.
 
Personal data is not sold and is not used for advertising or cross-app tracking.
 
The lawful bases for processing may include performance of a contract, legitimate interests in administering the practice, compliance with legal obligations, and consent where consent is appropriate.
 
Third-Party Service Providers
 
The following providers process only the information needed to deliver their respective services:
 
• Wix — website hosting, existing client accounts and app backend services
• Calendly — appointment scheduling
• Stripe — international payment processing
• Zoho Payments — India payment processing
• Resend — transactional appointment emails
• Zoom — live delivery of counselling sessions outside the app
 
These providers are required to apply appropriate data-protection and security safeguards. Information may be processed outside the United Kingdom where lawful international-transfer safeguards are in place.
 
Data Retention
 
• Client records are retained for up to 6 years after the final session for insurance and legal reasons.
• Enquiries that do not progress to therapy are retained for up to 12 months.
 
Some counselling, safeguarding, tax, accounting or regulatory records may need to be retained where required by law or professional obligations.
 
Your Rights, Account and Data Deletion
 
You may request access to or correction of your personal data, erasure where legally applicable, restriction of or objection to processing, and withdrawal of consent where consent is the lawful basis. You may also lodge a complaint with the Information Commissioner's Office.
 
The app is for existing clients and does not provide account creation. To exercise your rights, request deletion of your account or personal data, or ask a privacy question, email info@maneesha.co.uk. Deletion requests will be completed except for information that must be retained for legal, safeguarding, insurance, accounting or professional obligations.
 
Security
 
Reasonable technical and organisational measures are used to protect information from loss, misuse, unauthorised access, alteration or disclosure.
 
3. Counselling Agreement & Terms
 
Counselling is a collaborative therapeutic process intended to support emotional wellbeing, self-awareness and personal growth. Outcomes cannot be guaranteed and will vary between individuals. Counselling does not replace medical or psychiatric care.
 
The app is used only to schedule and pay for professional counselling appointments. Counselling is delivered live outside the app via Zoom; no digital content or app functionality is purchased.
 
Sessions are booked via Calendly, confirmed upon receipt of payment, and paid in advance via Stripe or Zoho Payments depending on booking region.
 
Session length:
• 60 minutes for individual sessions
• 90 minutes for couples and family sessions
 
Health and Medical Disclaimer
 
The Client Area app supports access to counselling booking, client information and practice information. It is not a medical device and does not diagnose, treat, cure or prevent any medical condition. It does not provide crisis or emergency services.
 
Cancellation and Refund Policy
 
Your appointment time is reserved exclusively for you. A minimum of 24 hours' notice is required to cancel or reschedule. Cancellations made with less than 24 hours' notice and missed sessions are charged in full. If you arrive late, the session will end at the scheduled time and may be shortened without a fee reduction. Fees are non-refundable except in exceptional circumstances at the practice's discretion.
 
Consumer Contracts Regulations
 
As sessions are time-specific appointments, the 14-day cooling-off period under the Consumer Contracts Regulations 2013 does not apply once a session date has been reserved within that period. By booking, you expressly consent to the service beginning at the scheduled time.
 
Confidentiality
 
Sessions are confidential except where there is a risk of serious harm to you or others, there are safeguarding concerns involving children or vulnerable adults, or disclosure is required by law. Where possible, any limits to confidentiality will be discussed before disclosure. In accordance with professional requirements, the counsellor undertakes regular clinical supervision and protects client identity in supervision discussions.
 
Crisis and Emergency Support
 
Counselling sessions do not provide crisis or emergency services. If you are in immediate danger within the UK, contact 999, NHS 111, Samaritans on 116 123, or your GP.
 
If you are outside the UK, it is your responsibility to be aware of local emergency mental health services and seek appropriate local crisis or medical support when required.
 
Complaints
 
If you are dissatisfied, email info@maneesha.co.uk so concerns can be addressed promptly and respectfully. If a matter cannot be resolved directly, you may contact the British Association for Counselling and Psychotherapy through its professional conduct process.
 
Governing Law
 
These terms and any dispute or claim arising from them are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.
